Who we are
IronProof is heavy equipment inspection software made by Strategic Evolutions Inc. ("we", "us"). IronProof is used by equipment dealers and their staff to document the condition of machines. The dealer you work for (your "organization") licenses IronProof and decides what is inspected and who can sign in.
In most cases your organization is the controller of the inspection records created with IronProof, and we process that data on its behalf. This policy explains what the app and website collect, why, and what your choices are.
Information the mobile app collects
The app only collects what an inspection needs. Each item below says what it is used for and whether you can decline it.
- Account information. Your name, work email address, phone number and organization, created for you by your organization's administrator. Used to sign you in and to record who performed each inspection.
- Photos and video. Taken with the camera or chosen from your photo library, attached to an inspection. Video may include audio from the microphone. This is the core of the product: the evidence record for a machine's condition. Camera, microphone and photo library access can each be declined in your device settings; the app then cannot attach that kind of media.
- Location. If you allow it, the app can record where an inspection was performed, so the record shows the site or yard the machine was at. Location is used only while the app is open and is stored with the inspection. Declining location does not stop you inspecting.
- Signatures. A customer or technician may sign an inspection on screen. The signature image is stored with that inspection.
- Inspection content. Checklist answers, measurements, notes and readings you enter, together with the machine's identifiers (unit number, serial number, make and model) from your organization's records.
- Device information. A device identifier, the app version and the operating system, used to keep you signed in securely, to register a passkey to your device, and to diagnose problems. If you enable Face ID, Touch ID or fingerprint sign-in, the biometric check happens on your device; we never receive your biometric data.
- Diagnostic records. When a request to our servers fails, the app keeps a short technical log on the device to help support resolve the problem. The app does not include any third-party analytics or crash-reporting software.
Information the website collects
- Demo requests. Name, email, phone, company, dealer management system, fleet size and anything you type into the form. Used to respond to you and to set up a demonstration. The form is protected by Google reCAPTCHA, which is subject to Google's privacy policy.
- Analytics. useironproof.com uses Google Analytics to understand how the site is used: pages viewed, approximate location derived from your IP address, browser and device type. This data is aggregated and is not used to identify you.
How we use information
We do not sell personal information, and we do not use it for advertising.
- To provide the service: capturing, storing and displaying inspections and writing them to your organization's dealer management system where that integration is enabled.
- To secure accounts: signing you in, refreshing sessions, and detecting misuse.
- To support you: investigating problems you or your organization report.
- To improve IronProof: understanding which features are used, in aggregate.
- To meet legal obligations and enforce our agreements with your organization.
Where data is stored and who can see it
Inspection data, photos and video are stored in the South Central US region of Microsoft Azure, in the United States, in the same platform that hosts your organization's Vizybility dealer management system. Data is encrypted in transit and at rest.
We are based in Canada and store data in the United States. If you use IronProof from outside the United States, your information is transferred to and stored there, where data protection laws may differ from those where you live. We take the steps the applicable law requires to protect it wherever it is stored.
Inspection records are visible to the people your organization authorizes: its IronProof users, its administrators, and, for records your organization chooses to share, the customer named on a rental or trade inspection.
Service providers
We use a small number of providers to run IronProof. Each receives only what it needs for its function:
- Microsoft Azure — hosting, databases and file storage for the app, the website and our APIs.
- Google Maps Platform — showing a machine's last known position on a map in the app, and address lookup.
- Microsoft (Entra ID) — optional sign-in with a Microsoft work account, if your organization enables it.
- Google reCAPTCHA and Google Analytics — on the website only, as described above.
We may also disclose information when the law requires it, to protect the rights and safety of users or the public, or as part of a merger or sale of the business, in which case this policy continues to apply.
Retention
Inspection records are business records of your organization and are kept for as long as your organization's agreement with us requires, then deleted or returned in line with that agreement. Account information is kept while your account is active and for a limited period afterwards for security and audit purposes. Website demo requests are kept while we are in contact with you. Diagnostic logs on the device are short-lived and cleared by the app.
Your choices and rights
- Permissions. You can withdraw camera, microphone, photo library, location and biometric permissions at any time in your device settings.
- Access and correction. To see or correct the personal information we hold about you, contact your organization's administrator or email us at the address below.
- Deletion. IronProof accounts are created and closed by your organization's administrator. To have your account and personal information deleted, ask your administrator, or use the request form at useironproof.com/delete-account, which explains what is deleted, what your organization may keep, and how long it takes. Inspection records you created may be retained by your organization as business records, with your name on them, as permitted by law.
- Regional rights. Depending on where you live you may have additional rights, such as the right to data portability or to object to certain processing. We honour those rights as the applicable law requires.
Children
IronProof is a workplace tool for equipment dealers. It is not directed to children and we do not knowingly collect personal information from anyone under 18.
Changes to this policy
When we change this policy we will update the effective date above and, for material changes, notify your organization. Continued use of IronProof after a change means you accept the updated policy.
